Switching from another POS
If your store runs an older Windows POS that keeps its data in Microsoft SQL Server, you can move to BuiltPOS without stopping sales. The old registers keep working while you set up the new ones.
Who this is for
The tools on this page read one particular SQL Server database layout used by older Windows POS software. Tell us the name of your current POS and we will check that it fits before you change anything. If your system does not use SQL Server, contact us and we will talk through what is possible.
Tools for the move
You may need one of them or all of them, depending on where your store is.
See the old store in BuiltOFFICE with BuiltSync
A small Windows program that runs as a service on the computer with SQL Server. It connects out to BuiltPOS over HTTPS, so you do not need a static IP address or an open port.
BuiltOFFICE then shows the old system's sales, transactions and reports. In this setup the data is view only: BuiltSync reads your database and does not change it, and product, price and staff changes are still made on the old POS. It works with SQL Server back to the 2008 R2 release, and needs a SQL Server login that can read the database.
About BuiltSyncImport your data into a new BuiltPOS store
Our team copies your data from the old SQL Server database into your new BuiltPOS store. That covers business details, employees, customers, suppliers, products and stock levels, product groups and deals, tax rates, sales history with items and payments, time clock entries, stock adjustments, expenses, payroll records and purchase orders.
About the importCarry prices over by UPC
If you have already built your product list in BuiltPOS, for example by scanning items in, a full import would give you a second copy of every product. Legacy prices copies only the selling price, and the cost if you choose, onto products that already exist, matched by UPC. Matching allows for the usual differences in how a UPC is written, such as a missing leading zero.
It shows a preview first: what will change, products with no match, and any UPC the old system priced two ways, which it skips. It creates nothing and deletes nothing. New prices reach every register on its next sync.
On the register, an owner or admin finds it under Manage Store, then Database, then Legacy prices. It needs a connection to the old SQL Server, which we help you set up.
About moving your dataPractice before you switch
Training mode on the BuiltPOS register lets staff ring practice sales that are not recorded as real sales and never charge a card.
About the registerHow a move goes
There is no set date. Plans are month to month, so you switch when your store is ready.
-
Talk to us
Tell us what you use now, how many registers you have and which card terminal. We check that your database is one these tools can read.
-
Connect the old system
Install BuiltSync on the computer that runs SQL Server. It opens a setup page in your browser where you enter the store code we give you and the database details.
From then on the old store's numbers appear in BuiltOFFICE, and the old registers keep selling as they do today.
-
Set up BuiltPOS
Create your BuiltPOS store. We import your data from the old database, or, if you have already built your product list, you carry the prices over with Legacy prices. Then set up your card terminal and printers.
-
Train your staff
Use training mode to ring practice sales on the new register while the old one keeps taking real ones.
-
Switch over
When you are ready, ring every sale on BuiltPOS. The history we imported stays in BuiltOFFICE beside your new sales.
What keeps working on the old system
- Your old registers keep ringing sales the way they do now.
- Your old database stays where it is. BuiltSync only reads it.
- Prices, products and staff are still changed on the old POS until you switch.
- Legacy prices reads prices from the old system and changes nothing there.
